A.K.A. Tracking Specialist

DAILY MISSION:  Work with our Accounting Specialist & Business Operations Manager to ensure our inventory is properly tracked and new, existing customers or prospect leads are efficiently processed in order to support our team members, clients and customers creating a kick-ass experience with us!

Data entering, automated robot? We think not! You’ve got kick-ass personality to spare and as a savvy communicator, you will charm the socks off everyone you meet. A master of multi-tasking, you can assist in our post auction invoicing and shipping process, prepare for an incoming consignment inventory load, answer phone inquiries at the same time – with one hand behind your back! You exude charm, grace, and poise when there are a million things happening at once. You have a smile that sparkles, even over the phone, and your quick wit will keep your teammates on their toes.

WHAT WILL YOU DO?

As an administrator of incoming inquiries, you will keep information flowing through the right channels effectively and efficiently. When our customers share their comments, compliments, and concerns, you’ll hook them up with all the right answers. As a member of our Customer Service team, (as we all are at Richmond Auctions btw), you will serve as a liaison between our auction house team, buyers, and consignors to ensure that we are communicating and running smoothly at all times. Inventory management is critical, so you will support the process to ensure accuracy of our precious items. You will also process internal requests and be an info hub for both customers and staff. And on occasion, you’ll be responsible for selecting the song for our 3:00pm dance parties.

RESPONSIBILITIES

  • Drive the collection and tracking of consumer data and lead generation.
  • Responsible for the storage and management of that data (including data preservation).
  • Provide computer support for inventory management systems.
  • Support the Inventory management process to ensure accuracy in data and reporting.
  • Support inventory
  • Manage inventory & filing systems.
  • Assist with auction close out processing in a timely manner including but not limited to invoice collection, shipping and/or delivery of our precious items.
  • Assist other Richmond entities with inventory management (GA location).
  • Assist in cataloging of all consigned inventory.
  • Liaise with customers, consignors and marketing, operations and administrative team members to support our overall day to day operations.
  • Assist with photography assets of inventory by uploading photos and descriptions provided based on seller and/or appraiser details.
  • Help facilitate Facebook platform auctions.
  • Assist with administrative tasks, such as data entry, filing, and document preparation.
  • Support other departments as needed with various tasks and projects.
  • Live Premiere Auction week setup and preview assistance. Pre-Game!
  • Assistance required for all live Premier Auction days. Game day, baby!
  • Assist Finance with company financials: inventory, purchase history, sales (direct & auction), etc. as needed.
  • Develop in depth understanding of our business to speak knowledgeably about our company.
  • Uphold confidentiality and discretion in handling sensitive information.
  • Special projects as assigned.

QUALIFICATIONS

  • High School Diploma or equivalent.
  • Certificate or Degree in Business Administration, Marketing or Supply Chain an asset.
  • Fully fluent in English.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Min 2+ years of similar work experience.
  • Experience with data entry and management a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, Email).
